Job summary
Reporting to the Head Of Operations, an exciting opportunity has arisen for an Operations Assistant to join our Operations department focused on supporting the day-to day operations of a business by providing administrative and organisational support.
About the position
Your responsibilities and the qualities we're looking for.
- Document Management: Complete new line forms, registration forms, and other documents for the Operations team.
- Purchase Order Processing: Manage all operational purchase orders, including updating delivery status, verifying costs, and ensuring order acknowledgments are sent.
- Product Information Management: Upload and maintain comprehensive product information and Bills of Materials (BOMs) on Unleashed and other relevant platforms.
- Stock Reporting: Ensure weekly stock level reports, including out-of-stock items and updates, are communicated effectively with summaries to the Head of Operations.
- Cost Tracking and Documentation: Create costing sheet templates, maintain the quote tracker, folder, and manage related documentation.
- Critical Path Analysis (CPA): Update CPA with timeframes for product launches to ensure timelines are met.
- Manufacturer Liaison: Attend weekly meetings with manufacturers in the absence of the Head of Operations & Manufacturing. Follow up with manufacturers to ensure timely PO completion by gathering quotes and product information.
- Sample Management: Ensure all production samples are received, tested, and approved by senior management, and file documentation appropriately.
- International Cosmetic Portal Management: Oversee the management and support for international cosmetic portals, including the registration of new products (e.g., Cosmetic Product Notification Portal, CPNP).
- Product Registration: Manage and file product registrations for all territories, ensuring timely renewals.
- Component Wastage Monitoring: Track and report on component wastage and overfilling to optimise production efficiency.
- Management of Sales Platform and Operations: (I.e Amazon and Tiktok for Bare Feet and Margaret Dabbs London)
- New Line Forms: Updating any business requests for key accounts so information is accessible for the Sales Team.
- Weekly Audits and Stock Orders: Conduct weekly audits and manage stock orders for the Head Office to ensure inventory accuracy.
- Customer Support: Handle customer inquiries and complaints in the absence of the Customer Service Assistant, ensuring a high level of customer satisfaction.
- Office Communication: manage the categorisation of incoming and outgoing communications, including emails and post.
Our requirements
You will need to meet these requirements to be eligible for the position.
- Strong organisational and administrative skills, with attention to detail in data management and compliance.
- Experience in purchase order processing, stock reporting, and product information systems (e.g. Unleashed).
- Proficiency in managing product listings and preparing marketing or operational documents.
- Familiarity with international product registration portals (e.g., CPNP) is a plus.
- Strong communication skills for customer support and office correspondence.
- Ability to identify cost-saving opportunities and streamline operational processes.
- Experience in onboarding new employees and setting up office systems/software.
